Job Description:
Project Administrator
Responsibilities for specific projects:
?Work cooperatively within the team environment to achieve project
success.
?Job startup ? set-up of projects in the project management
information system in accordance with company procedures, systemize
all field documentation, follow-up for completion of job header
information initiated by Project Manager and Work Acquisition
Group, assist with procurement of permits and utilities as
assigned.
?Type and distribute Subcontracts, Purchase Orders, Work Releases
and other similar project-related agreements.
?Manage the process of tracking and obtaining executed Subcontracts
as required to meet the project schedule including subcontractor
safety checklists.
?Manage subcontractor insurance certificate program for assigned
projects. Assist subcontractors in complying with the subcontract
insurance requirements. Proactively contact and work with
subcontractor insurance brokers as necessary.
?Assist subcontractors and suppliers with understanding and
fulfilling the OCIP requirements, Affirmative Action requirements,
security clearances, as it relates to the project.
?Process submittals in cooperation with Project Manager
?Type, and track correspondence and all safety notices.
?Create, process and track Change Order Requests, RFI?s, etc. as
assigned.
?Assist with project closeout, distribution and tracking of ?punch
lists?, expediting and assembly of project closeout documents
(warranties, operating and maintenance manuals, materials for
maintenance stock, etc.).
?Assist project team with organizing and consolidating project
files at completion of project and be responsible for archiving of
project files.
?As directed by the Project Manager, perform miscellaneous tasks
necessary to further the project such as assist with subcontractor
and owner correspondence, making follow-up phone calls, etc.
?Participation in Project Team planning meetings as requested
including taking minutes of the meeting.
?Assist with pricing and or purchasing of material.
?Drawing control and distribution, maintenance and submission of
?as ? built? drawings, posting of changes, clarifications and RFI?s
in drawings and specifications.
?Assist with tracking and distribution of change and clarification
documents to the field, subcontractors and suppliers.
?Support the Work Acquisition Group with activities such as
subcontractor solicitation letters, calls and follow-up.
?Be available to assist on bid days with taking subcontractor bid
calls, assisting in the bid room, delivering bids and any other
work acquisition- related tasks that may be assigned.
?Position requires the ability to communicate professionally with
co-workers, subcontractors and vendors, owners, design
professionals, insurance agents/brokers and others.
?Participate in training and continuing education to enhance the
skills necessary to effectively perform the duties of the
position.
?Training may include participation in Continuous Improvement
Programs, outside educational and professional training
opportunities.
?The training program will be a part of the employee?s overall
career development.
?General maintenance of office equipment i.e. supplying paper to
copiers, printers and fax machines, replacing toner and or ink to
all machines, organizing office supplies in the Project Management
area.
